ScoreApp AI Tools - what data do they access

ScoreApp includes several AI-powered features that can help you build scorecards, understand your results, and personalise the experience for your leads. None of these features are compulsory — you can use ScoreApp without enabling any of them.

This article explains what each AI feature does and exactly what data is sent to OpenAI when you use it.

AI Copilot

What it does: Helps you create and configure your scorecard using AI-generated suggestions — landing page, questions, scoring logic, result page copy, and so on.

What data is sent to OpenAI: Only the information you type into the AI Copilot prompts — for example, a description of your business or your scorecard's goal. No lead data, scorecard responses, or account data is involved.

When is data sent: Only when you actively use the AI Copilot. Nothing is sent in the background.

Note: You can also ask the AI Copilot questions about your leads and results directly within the conversation. If you do, the same rules as AI Insights below apply — what data is sent to OpenAI will depend on what you ask.

AI Insights

What it does: Lets you ask questions about your scorecard data — trends, patterns, aggregate results — using a conversational AI interface within the ScoreApp manage area.

What data is sent to OpenAI: This depends on what you ask. If you ask the AI to analyse or look up individual lead data, it will use a tool called GetResults which has access to lead details including first name, last name, and email address. If you ask only about aggregate scores or trends, individual contact details are unlikely to be included.

When is data sent: Only when you actively use the AI Insights feature and ask a question that triggers a data lookup. It is never triggered automatically in the background.

AI Smart Sections

ScoreApp result pages can display results in a number of ways — overall scores, category breakdowns, dynamic content based on score tiers, and more — none of which involve AI or send any data to OpenAI. Smart Sections are a separate, optional feature available on Business Plus plans that goes a step further.

What it does: A Smart Section is a specific type of section you can add to your result page. Instead of showing static content, it uses AI to generate personalised copy for each individual respondent at the moment they complete your scorecard. The AI generates this content based on the respondent's answers and scores, combined with prompts you have written and configured in advance.

What data is sent to OpenAI: Each respondent's scorecard answers and scores, combined with your prompts. No other data is included.

What is never sent: Name, email address, and any other contact details collected via the lead form are never included.

Note for data controllers: Scorecard answers may constitute personal data depending on the nature of your questions. If your scorecard covers sensitive topics, you should consider whether this is reflected in your privacy notice.

MCP (Model Context Protocol) Connector

What it does: Connects ScoreApp directly to an external AI assistant — currently Claude (Anthropic) or ChatGPT (OpenAI) — so you can ask questions about your scorecards and leads from within those tools.

What data is sent: If you ask about individual leads, their personal details will be included in what is sent to Anthropic or OpenAI. Nothing is sent passively — data is only shared when you actively ask a question that requires it.

Hiding lead contact details

You can limit what the AI assistant sees by enabling Hide Lead Contact Details from AI Assistants in your MCP settings. When this is turned on, names and email addresses are excluded from any data sent to Claude or ChatGPT. Leads are still returned (identified by their ID) and statistics are unaffected.

This is a useful option if you want to use the MCP connector for scorecard and reporting questions without sharing contact-level data with your AI assistant.

For full details on how the MCP connector works, what tools it includes, and good data habits, see our dedicated guide: ScoreApp MCP Connector.

Does OpenAI use this data to train its models?

No. ScoreApp uses the OpenAI API. OpenAI does not retain or use data sent via the API to train its models.
